In addition, the Administrator will provide administrative support to the NZ Administration team.Essential Duties and ResponsibilitiesReceive and prepare audio through extracting from hard media, retrieving from upload servers and where necessary converting audio to a suitable format for transcriptionTroubleshoot audio problems including new file formats, conversion and quality issuesEnsure that supporting materials are available for transcribersCreate a job in the appropriate database for each client orderAssign work to transcribers as requiredManage Reception and look after visitorsAnswer face-to-face customer queries, take briefs from clients, quote for jobs, take payment and organise receipts for the work providedAnswer phone calls and transfer them to the appropriate person as necessaryEnsure that the NZ Client shared mailbox is monitored and that emails are responded to promptly and in line with set KPIsLiaise with clients regarding audio recording optionsLiaise with clients when there are problems with either the audio or supporting documentationConfirm to client that audio has been received and the expected due dateAdvise clients of any delays or alterations to expectations in deadlines in quality of transcriptsAssist clients when they are having problems transferring audio or receiving transcriptsReturn transcripts to clients as requiredCreate transcripts from audio files following style and quality guidelines providedDo final visual checks on completed transcriptsDo final checks against audio on words/phrases marked inaudible in transcriptsProofread and consistency check documentsProvide feedback to transcribers following prescribed guidelinesPut multiple part transcripts together as a unified document/series of documentsComplete copy typing in specified formats as requiredEnsure end of day reports are updated dailyUpdate other admin reports as requiredAdditional admin support to the NZ Administration team as neededMinimum RequirementsExcellent communication skills – including professional email and phone communicationsAble to professionally manage workload and conflicting prioritiesStrong attention to detailExceptional English skillsExcellent keyboard skillsConfidence in Microsoft Word and working knowledge of other Office programmesGood organisational abilityAbility to self-manage and prioritiseWorks effectively as part of a team, recognises areas where support is required and offers assistanceAbility to effectively problem solveAdditional RequirementsIs flexible and adaptable in approachExperience in audio transcription an advantageSome experience in proofreading or editingTakes an active role in personal development and frequently reviews individual objectives and attends training sessions as requiredAble to self-motivate and support other staff in the officeMinimum EducationGood general educationSecurity ClearancePolice clearance required.
