  • Use your exemplary support skills and make a direct contribution to New Zealand’s health and wellbeing

We are seeking an experienced and delightful Executive Assistant to support a significant and interesting group of managers.  A strategically placed position, this role will also work right alongside the Senior Executive Assistant to the Director General and provide direct support to the Director General at times.

The Office of the Director General is the Directorate at the Ministry of Health that is responsible for leading, enabling and supporting public service excellence by providing timely, high-quality advice, communications and service to Ministers, ELT and the wider Ministry; and by providing organisational leadership and governance support.

We recently aligned the executive support needs of the organisation and created the role of Manager, Office of the Deputy Director-General within each Directorate.  These roles are important to the efficient and effective running of each business unit, and the Manager now requires an efficient and friendly Executive Assistant to assist them in achieving their goals.

We need an Executive Assistant to provide high quality, timely executive support, including dealing with matters of a highly confidential and sensitive nature.  In particular, you will:

  • provide advanced diary management with a strong focus on forward planning and time management, ensuring the managers have the tools and information needed to achieve their key priorities
  • manage correspondence in a way that ensures everyone is investing their time on the right outcomes and deliverables
  • make sound decisions about the information you’re managing
  • work closely and communicate regularly with the Senior Leadership Team, Senior Executive Assistant and the Director General to provide a cohesive and smooth support network
  • partner and collaborate with the wider support team
  • be a role model and mentor to the wider administration support in the Ministry.

In addition to your proven experience supporting a senior leader, you will bring initiative, pragmatism and common sense to the role.  Your people skills will be paramount.  You’ll be genuine, personable and approachable, able to build relationships and be eager to collaborate with others across the business.  You’ll have a genuine desire to help your managers and everyone else, and have a flexible mind-set around how you can do that.

Here’s the interesting part.  You are needed to be available in the office until 6pm Monday to Friday, which means you will get a late start every day!

The Ministry of Health is the kaitiaki of the health and disability system in New Zealand.  We are responsible for providing active stewardship and leadership across the nations health and disability system.  We ensure the system provides people with the highest levels of care, regardless of who they are or where they live.
