The DHB Performance, Support and Infrastructure directorate ensure strong effective relationships and provides leadership and support to ensure DHBs deliver on and are accountable for their operational, capital and financial performance.  We also deliver major health infrastructure projects for the Crown; process payments and administer contracts for health care services.


We are looking for an Executive Assistant to provide high quality, timely, support to one of our Group Managers, and actively collaborate and engage with colleagues both internally and externally. More specifically, you will:


  • Manage the diary and email of the Group Manager, scheduling meetings and responding to emails
  • Prepare reports responses and manage filing and correspondence
  • Provide meeting preparation – including agenda, recording meeting minutes
  • Contribute to the delivery of the DHB work programme
  • Partner and collaborate with the other Leadership Team support team members and contribute to the improvement and development of administrative process, procedures and systems within the Group and Directorate often.


To be successful, you will need:

  • Previous experience in a Personal Assistant or Executive Assistant role providing support to a senior executive and their team
  • Excellent organisational skills along with the ability to think ahead, use initiative, establish priorities and meet deadlines whilst preserving the highest levels of accuracy and confidentiality
  • Excellent interpersonal, oral and written communication skills and the capacity to manage relationships at all levels, including with senior Ministry officials and with health sector leaders
  • To be a self-starter who can manage your own work and peer review the work of others
  • Advanced skills in the MS Office Suite. Familiarity with the Lotus Notes operating system would be an advantage
  • Previous successful experience in a government Ministry or other government agency would be an advantage.
