Here’s an exciting opportunity for an energetic, focused, and capable personal assistant to support two friendly and very busy managers on a permanent, full-time basis in Wellington.

Maritime NZ is the national regulatory, compliance and response agency operating in the maritime sector for the safety, security and environmental protection of maritime waters.

About the role

This is a key support role where you’ll naturally be gifted with excellent solution-focused administration and organisational skills. Your strong communication and problem-solving ability will mean you are comfortable with ambiguity and figuring things out.

By nature, you’ll be professional, highly motivated with a strong sense of initiative, along with being skilled at anticipating, removing and diverting obstacles – always one step ahead. As a result, your Managers will always be well briefed, prepared and organised.

Key responsibilities:

  • Managing the correspondence and diaries of the managers to support them in a structured and planned manner
  • Ensuring the managers have the information and resources they need, when they need it
  • Working closely with your business support colleagues to provide efficient, lined-up support across the business group
  • Be an active and positive part of the managers teams
  • Coordinating meetings and events, including accurate minute taking, and covering the logistics like venues and catering Ensuring invoices and credit card reconciliation’s are coded correctly, accurately, authorised at the appropriate level and forwarded to Finance in a timely manner
  • Assisting in the preparation of business planning for the team
  • Organising domestic and international travel in accordance with Maritime NZ’s policies and procedures

Ideally you will have the following:

  • A proven track record of experience and achievement in a similar support role, or demonstrated ability and ambition to take the next step
  • Wide ranging knowledge of administration systems and processes
  • Outstanding attention to detail
  • Excellent written and spoken communication skills
  • Excellent relationship management skills
  • Proven ability to develop trust and credibility at the senior level
  • Strong communication, influencing and interpersonal skills
  • Willingness to work in a flexible and dynamic environment: Have the ability to be agile and adaptable: be able to adapt to new situations and keep things on the level
  • A genuine desire to help and organise others
