We are seeking a highly skilled and motivated individual to serve as the Personal Assistant to our Nursing Director in the Infection Prevention and Control Service.As a key member of the Infection Prevention and Control Service, you will work closely with the Nursing Director to coordinate administrative tasks, manage communications, support quality management initiatives, and foster effective relationships with stakeholders. Your role will be instrumental in ensuring the smooth operation of the IPC Service and contributing to the organisation's mission of providing safe healthcare environments.As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 5/Profile 5.For further information about the administration and clerical pay equity settlement please follow the link below:Coordinate daily, weekly, and monthly milestones to support the Nursing Director in achieving business objectivesManage the Nursing Director's diary and resolve conflicting prioritiesHandle communications, phone calls, and correspondence, serving as a point of contact for internal and external partnersLiaise with accounts payable staff and purchasing officers for IPC Service expenditureMonitor and order IPC Service supplies and office resourcesProduce reports, presentations, and briefs as requiredAssist with new staff recruitment activities, including interview scheduling and onboarding processesMaintain confidentiality and privacy of sensitive information at all timesDisplay critical thinking and identify opportunities for efficiency improvement in office managementCoordinate IPC Service staff travel arrangementsMaintain up-to-date SharePoint site of IPC policy documents.Build and sustain professional relationships with key stakeholdersEnsure IPC team members remain connected for meetings using communication technologiesCoordinate administrative duties for IPC Service Committees and Working GroupsAct as a front-line point of contact for IPC Service inquiriesProvide administrative assistance during IPC risk events and outbreaksExcellent time management and prioritization skillsAbility to handle critical tasks with confidence and discretionStrong attention to detail and ability to manage competing prioritiesResilient with a positive attitude and flexibility in shifting prioritiesInitiative and ability to think ahead, offering suggestions for improvementExcellent communication skills, both oral and writtenUnderstanding of professional relationships in a complex organisational environmentDesirable: Experience in document production, understanding of the healthcare sector, and project management supportIf you are a proactive, detail-oriented individual with a passion for healthcare and a desire to make a difference, we invite you to apply for this exciting opportunity.
